<span style="color: #333333">Instructors are required to enter final grades for each of their students at the end of each term. Instructors can record final grades in the Student Administration System.</span>

1. [Log in](https://uconn.atlassian.net/wiki/spaces/SAS/pages/10769929645) to the Student Administration System.
2. Select the **NavBar** icon in the top right-hand corner.
3. Select **Menu **from **NavBar**.
4. Select the **Self Service** tab.
5. Select the** Faculty Center** tab.
6. Select the **My Schedule **tab.
7. <span style="color: #000000">Select the </span><span style="color: #000000">**Grade Roster **</span><span style="color: #000000">icon to the left of the class for which you want to upload grades. The </span><span style="color: #000000">**Grade Roster**</span><span style="color: #000000"> page will then display within the browser.</span>
8. <span style="color: #000000">Navigate to the </span><span style="color: #000000">**Display Options**</span><span style="color: #000000"> section on the page. </span>
9. <span style="color: #000000">Confirm </span><span style="color: #000000">**Final Grade**</span><span style="color: #000000"> is reflected in the </span><span style="color: #000000">**Grade Roster Type**</span><span style="color: #000000"> field.</span>
10. <span style="color: #000000">Navigate to the </span><span style="color: #000000">**Student Grade **</span><span style="color: #000000">section. </span>
11. <span style="color: #000000">Select grades for the student(s) from the </span><span style="color: #000000">**Roster Grade **</span><span style="color: #000000">dropdown menu. </span>

> ⚠️ <u>**Additional Information Required for Non-Passing Grades**</u>
> ⚠️ 
> ⚠️ When a student receives a non-passing grade (F, N, or U), federal regulatory compliance requires the University to document the last date of academic engagement. When a non-passing grade is entered into the Student Information System (SIS) a date field will open to record the date of last academic engagement. This may be the last known date of attendance or the last date for other forms of engagement that comply with the definition.

12. <span style="color: #000000">Select </span><span style="color: #000000">**Save.**</span>
13. <span style="color: #000000">After all the grades have been populated and saved, change the </span><span style="color: #000000">**Approval Status**</span><span style="color: #000000"> at the top of the page to </span><span style="color: #000000">*Approved*</span><span style="color: #000000"> on each roster.</span>
14. <span style="color: #000000">A confirmation screen will display. Select </span><span style="color: #000000">**OK**</span><span style="color: #000000">.</span>

<span style="color: #000000">The Final Grades will then be saved. The Registrar’s office will post the grades, at which point the students may view them online.</span>

## Final Grades Completion Status

There are four Grade Completion Status icons that indicate (a) whether a Final Grades roster has been generated for the class and (b) if all grades have been entered into the grade roster in Student Administration:

- **No grade roster exists**: This indicates that a Final Grades roster has not been created for the class.  For a multi-component class, the lecture will always reflect this.
- **No Grades entered**: This indicates that a roster has been created for the class; however, no Final Grades have been entered on the roster.
- **Some grades entered or roster not approved**: This indicates that the instructor has ***either*** (a) entered some Final Grades for the class, ***or*** (b) has entered all Final Grades for the class but has not set the Approval Status to Approved.
- **All grades entered and roster** **approved**: This indicates that the instructor has entered all Final Grades for the class ***and*** has set the Approval Status to Approved.

## <span style="color: #333333">Additional Final Grade Information</span>

### <span style="color: #333333">Deadlines</span>

<span style="color: #333333">Grades are due 72 hours after the scheduled final exam. Grades turned in after this point profoundly affect graduation, probation and dismissal, Dean's List, financial aid eligibility, etc.</span>

### <span style="color: #333333">Special Grades</span>

<span style="color: #333333">Most courses at the University are graded A – F. The University leaves it to the instructor’s discretion how numerical grades equate to letter grades. However, there are some cases in which a special grade is given instead. Below are some examples.</span>

- <span style="color: #333333">*I (Incomplete)*</span><span style="color: #333333">**: **</span><span style="color: #333333">Report an </span><span style="color: #333333">*I *</span><span style="color: #333333">if you decide, due to unusual circumstances, that the student cannot complete the course assignments.</span>
- <span style="color: #333333">*X (Absent from the Final Exam): *</span><span style="color: #333333">Report an </span><span style="color: #333333">*X*</span><span style="color: #333333"> when the student missed the final exam but is otherwise passing the course.</span>
- <span style="color: #333333">*N (No Grade): *</span><span style="color: #333333">Report an </span><span style="color: #333333">*N*</span><span style="color: #333333"> when the student has been registered but is not present in the class, which usually indicates a registration problem.</span>
- <span style="color: #333333">*Pass/Fail: *</span><span style="color: #333333">Report the earned letter grade; the system will convert the grade to </span><span style="color: #333333">*P*</span><span style="color: #333333"> or </span><span style="color: #333333">*F*</span><span style="color: #333333">.</span>
- <span style="color: #333333">*Audit*</span><span style="color: #333333">**: **</span><span style="color: #333333">Enter a grade of </span><span style="color: #333333">*AU*</span><span style="color: #333333">.</span>
- <span style="color: #333333">*S/U: *</span>Some courses are graded *S (satisfactory)* or *U (unsatisfactory)* and will not accept an A - F letter grade.
- <span style="color: #333333">*W: *</span><span style="color: #333333">Indicates an administrative drop.</span>
