Students, faculty, and staff may use these groups to grant UConn populations access to a file, folder, or SharePoint site. These groups are automatically populated each morning based on affiliation with the University. 

#### Requirements: 

- Administrator Access to your SharePoint Site (Owner)
- The name of the affiliation group you’re looking to grant access to.  
Visit the bottom of this guide to see a complete list of usable Affiliation groups

### Affiliation Group Examples

- Undergraduate Students (excluding UCHC)
- Undergraduate Students (including dual-enroll UCHC)
- Faculty (including or excluding UCHC)
- Staff (including or excluding UCHC)

## Step 1: Option 1) Granting Access to a file or folder

Follow these instructions if you would like to grant access to a specific file or folder. This access level can be read-only or edit.

> ⚠️ Please follow these instructions below instead of using the Right-click → Share method. Following the right-click method, depending on the chosen affiliation group, you may end up emailing thousands of people.

1. Navigate to [s.uconn.edu/onedrive](http://s.uconn.edu/onedrive) or [s.uconn.edu/sharepoint](http://s.uconn.edu/sharepoint) and sign in with your UConn email address and NetID password.
2. Find the file or folder you would like to share.
3. Right-click on the file or folder and then click on **Manage access**.
4. Click on the ellipsis in the top-right corner and then **Advanced settings**.
5. Now follow the instructions in the section below starting at Step 5.

## Step 1: Option 2) Granting Access to a SharePoint site as a whole

Follow these instructions when you want the affiliation group to have some level of access to the <u>entire</u> SharePoint site. This access level can be read-only, edit, or Owner (not recommended).

> ⚠️ Please follow these instructions below instead of using the Right-click → Share method. Following the right-click method, depending on the chosen affiliation group, you may end up emailing thousands of people.

1. Navigate to [s.uconn.edu/sharepoint](http://s.uconn.edu/sharepoint) and sign in with your UConn email address and NetID password.
2. Click on your SharePoint site to open it.
3. After a few seconds, the settings gear will appear in the top-right corner. Click on this settings gear and then click **Site permissions**.
4. Click **Advanced permissions settings.**
5. Click **Grant Permissions** in the upper-left corner
6. Enter the name of the affiliation group you’d like to grant access to and click **Show options**.  
ℹ️ These names are listed in the “expand” below.
7. ⚠️ Ensure you <u>uncheck</u> the “Send an email invitation” box, otherwise you will email each member of the group. Depending on your chosen group, this may be thousands of users.
8. Pick a permission level and select **Share**.

## Step 2) Share a link to the data

You now need to manually share a way to access the shared data. In a previous step, you unchecked the “Send an email invitation” so that thousands of people did not receive an email. Consequently, they do not know that your data has been shared with them.

> ✅ Because you have shared a subset of your data without notification, recipients may not be able to access the data through their usual methods.  
> ✅ Example: if you shared only a file/folder in a SharePoint site, recipients cannot find the data by visiting the site’s home page and searching; they need a direct link to the data.

1. If you shared a **folder**, visit that folder in your web browser. Open the folder so that you are looking at the contents of the folder.
2. If you shared a **file**, open the file in your web browser.
3. If you shared an **entire SharePoint site**, visit the site’s home page in your web browser.
4. Then find the URL in the address bar at the top of window.
  Note: the URL will have your email address (if sharing from OneDrive) or your SharePoint site name *and* a long identifier for your specific folder.
5. Highlight and Copy the URL.   
Send this URL to those who should view the data or post the URL in an appropriate location.
6. Optional: Utilize the [s.link service](https://uconn.atlassian.net/wiki/spaces/IKB/pages/10849422779).

## Affiliation Groups - all groups

- “___.no.uch”
  - These groups exclude users whose only campus is UCHC. Example: If a UCHC student is also enrolled in a class at Hartford, they will not be in this group.
- “___.exclude.uch”
  - These groups exclude users who are affiliated with UCHC in any way. If a user is enrolled in classes at Storrs and UCHC, they are not included in this group.
- “uch.___”
  - These groups contain users who are only affiliated with UCHC. If a user is affiliated with UConn Health and another campus, they are not included in this group.
