## \uD83D\uDCD8 Instructions

## <u>**For Contract Specialists:**</u>

1. “Check Out” the contract using the “Check Out” button at the top of the contract page.
  
  
2. Prepare the main document as needed from the attachments section. When you are done making edits using the Word plugin, check the contract back in to save any edits you have made by clicking the “Check In” button.
  
3. To add either a Vendor Review, Buyer, or Stakeholder Review, navigate to the applicable contract page and use the left-hand menu to select the “Review Rounds” section.
4. Click the “Create External Round” button near the top of the screen. Enter in the contact information for either the vendor contact or stakeholder.
5. Click the “Create External Round” button near the top of the screen. Enter in the contact information for either the vendor contact or stakeholder.
6. Use the “Contract Actions” drop-down in the top right-hand side of the screen and select “Begin External Review”.
7. Ensure the information automatically populates correctly in the “Begin Round of External Review” pop up, then click “Send Email”. This will put the contract in “External Review” status.
8. Check the “Communication Center” section on the left-hand side of the screen. In the “External” tab, you should see the beginning of a conversation with whomever the contract documents were sent to. Use the communication center to monitor for incoming contract edits and any concerns or questions from the external reviewers.
9. Review any edits proposed by the vendor or stakeholder by clicking on their reply by using the “Action” drop-down within the conversation and selecting “Compare With”.
  
10. Use the communication center to communicate any questions or concerns to the external reviewer.
11. Once the changes have been reviewed, use the “Action” drop-down to “Add/Update Main Document” to update the main documents with the proposed changes.
  
  
12. Use the “Action” drop-down within the conversation details to “End External Review Round”. This will put the contract back into “Draft” status.
  
13. “Check Out” contract once more and make any necessary changes or additions to the main document.

## <u>**For Buyers:**</u>

1. The Buyer will receive a communication from the contract specialist via email from the system as a comment or review round.
2. The Buyer can reply to the contract specialist via e-mail or in the contract record. This process can repeat itself as many times as necessary for the Buyer and Contract Specialist to agree on the contract edits.

<u>For All</u>

12. Repeat previous steps until Contract Specialist, Vendor and Stakeholders have all agreed to contract terms. Once review rounds are complete, ensure the appropriate signatories are setup in the “eSignature” section in the left-hand menu of the contract in HuskyBuy. > ℹ️ **Buyers and Contract Specialists should use the “Communication Center” section or the comments section on the left-hand side of the Contract screen in HuskyBuy to discuss any edits, questions, concerns, etc. If contract specialists are not receiving redlines back from Suppliers, please make sure the Supplier is replying to the e-mail thread generated by the system, and not attempting to send emails directly to ****[notifications@network.jaggaer.com](mailto:notifications@network.jaggaer.com)****.**
